Who we are
Food Rocks Ltd runs Horsham Market (the Carfax and West Street), Redhill Market, Petworth Farmers’ Market, Weald on the Field and other food events. We’re responsible for the personal information described here. Food Rocks Ltd is registered in England and Wales, company number 08744971. Registered office: Old Printers Yard, 156 South Street, Dorking, Surrey RH4 2HF.

What we collect, and why
- When you contact us. Your name, email address and message, so we can reply. We keep messages for up to two years, then delete them.
- When you apply to trade. Your business and contact details, what you sell, the dates you’d like, your answers about food, gas and electrics, any photos you send, and your food registration and hygiene rating. We use them to consider your application and, if we offer you a pitch, to book you in. If we can’t offer you a pitch, we keep your application for up to two years in case a space comes up, then delete it.
- If you trade with us. Your contact details, bookings, invoices and payments, and the documents markets need by law or by our agreements with councils and landowners: insurance, risk assessments, gas and electrical safety, food registration and hygiene ratings. We use them to run the markets safely, invoice you, and keep records we’re required to keep. Financial records are kept for six years, as HMRC requires. Documents are kept while you trade with us and for two years after.
- The Trader Hub. Your email address, so we can send you a sign-in code, and a record of when you sign in. We don’t use passwords for traders.
- Your stall on our websites. Your business name, description, photo and social media links, if you’re a Horsham Market trader. Nothing changes on the website until we’ve checked it, and you can ask us to change or remove it at any time.
- Newsletters to traders. News about the markets you trade at, sent to the email address we have for your stall. It’s part of trading with us, but tell us if you’d rather not have them.
- Photos and video. We take photos and video at our markets and events to show what they’re like, on our websites and social media. If you’re in one and would like it taken down, tell us and we will.
- Visiting our websites. We don’t use advertising or tracking cookies. The only cookies are the ones that keep you signed in and remember simple choices, such as which stall or market you’re looking at. To stop spam, our forms keep a scrambled version of your connection details, which can’t be turned back into who you are.
Our legal reasons
We use your information to take the steps you ask for before trading with us and to carry out our agreement with you (applications, bookings, invoices); to meet legal obligations (tax records, food and fire safety); and for our legitimate interests in running safe, well-run markets and replying to people who contact us. Where we rely on your consent, you can withdraw it at any time.
Who else sees it
We never sell your information. We share it only with people who help us run the markets, or when the law requires it:
- Our market teams. The people who run each market on the day, and at West Street Coden Events, who manage that market with us.
- Councils and landowners. Horsham District Council and the other councils and landowners whose sites we use, where our agreements with them ask for trader and safety information.
- Services we use. Supabase (our database and file storage), Vercel (web hosting), Resend (sending emails), Google Workspace (our email), Intuit QuickBooks (invoicing) and Cloudflare (a spam check on our forms). They only use your information to provide their service to us. Some are based outside the UK; where your information goes abroad, it’s protected by the safeguards UK law requires.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit what we do with it, or send it to you or someone else in a usable form. You can also object to us using it. Some of these rights have limits: for example, we must keep invoices for six years. We’ll reply within a month.
